Who We Are

LABS — Lawton Accounting & Bookkeeping Services (referred to as "LABS," "we," "us," or "our") is a bookkeeping and financial advisory firm operating as LABS LLC, headquartered in Lawton, Oklahoma. We provide subscription bookkeeping, financial reporting, advisory services, and related financial management services to small business owners.

What Information We Collect

Information You Give Us Directly

When you contact us, complete a form, or become a client, we may collect:

  • Your name and business name
  • Email address, phone number, and mailing address
  • Business financial records, bank statements, and transaction data you provide for bookkeeping purposes
  • Login credentials for financial platforms you authorize us to access (QuickBooks Online, bank portals, payroll systems, etc.)
  • Billing information processed through our payment provider
  • Communications you send us — emails, messages, and notes from advisory calls

Information Collected Automatically

When you visit LawtonBookkeeping.com, standard web technology collects:

  • Browser type, device type, and operating system
  • Pages visited and time spent on them
  • Referring URL (how you arrived at the site)
  • IP address and general geographic location (city/region level)

We use this data in aggregate to understand how the site is used and to improve it. We do not build individual profiles from this data.

Cookies and Tracking

Our website uses cookies — small text files placed on your browser — to maintain site functionality and analyze traffic. We use analytics tools (such as Google Analytics) in standard configuration. You can disable cookies in your browser settings; doing so may affect certain site features but will not affect your ability to contact us or become a client. We do not use advertising cookies. We do not allow third-party advertisers to place tracking pixels on our site.

How We Use Your Information

To provide services. Client financial data is used exclusively to perform the bookkeeping, reporting, and advisory services you've engaged us for. We access your financial accounts and records only as necessary to do the work.

To communicate with you. We use your contact information to respond to inquiries, deliver monthly financial reports, send invoices, and provide service updates. We do not send unsolicited marketing email to non-clients.

To process payments. Billing information is handled through our payment processor. We do not store payment card numbers on our systems.

To improve the website. Aggregate traffic data helps us understand what's useful and what isn't. This analysis does not involve individual tracking.

To comply with legal obligations. We may retain or disclose information as required by applicable law, regulation, or valid legal process.

How We Handle Client Financial Data

Because we are a financial services firm, we treat client financial information with heightened care.

  • Client financial records are stored in encrypted, access-controlled systems
  • We access client financial platforms (banking, QuickBooks, payroll) only through authorized, credentialed connections — not stored passwords
  • Access to client files is limited to LABS staff and contracted professionals working on that client's account
  • We do not sell, rent, or trade client financial data — ever, under any circumstances
  • When we engage contracted CPAs or other credentialed professionals on a client's behalf, only the information necessary to complete the specific task is shared, under confidentiality terms

Information Sharing

We do not sell your information. We do not share your information with third parties for their marketing purposes.

We share information only in the following circumstances:

Service providers. We use third-party tools to operate (accounting software, secure file storage, payment processing, email platforms). These providers access data only as needed to deliver their service and are bound by their own privacy and security commitments. Current primary platforms include QuickBooks Online (Intuit) and Gusto.

Contracted professionals. When a client's needs require a licensed CPA, tax preparer, or other credentialed professional, we coordinate on the client's behalf. Relevant financial information is shared with the client's knowledge.

Legal requirements. We will disclose information if required to do so by law, court order, or regulatory authority.

Business transfer. In the event LABS is acquired or merges with another entity, client information would be transferred to the successor — and clients would be notified before any change in how their data is handled.

Data Retention

We retain client financial records and communications for a minimum of seven years following the end of the client relationship, consistent with standard accounting practice and IRS recordkeeping guidelines.

Non-client inquiry data (contact form submissions that did not result in an engagement) is retained for no more than 18 months.

You may request deletion of non-financial-record data at any time by contacting us. Some information cannot be deleted if retention is required by law or professional standards.

Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of information we are not legally required to retain
  • Opt out of any non-essential communications at any time

Security

We use industry-standard safeguards — encrypted connections (HTTPS), access controls, and secure credentialed systems — to protect the information in our care. No system is 100% impenetrable, and we cannot guarantee absolute security. What we can guarantee is that we take it seriously, because your financial information is exactly the kind of data that deserves careful handling.

Third-Party Links

Our website and resources may occasionally link to third-party sites (financial tools, government resources, etc.). We are not responsible for the privacy practices of those sites. Review their policies independently.

Children's Privacy

Our services are designed for business owners and are not directed at children under the age of 13. We do not knowingly collect personal information from children.

Changes to This Policy

If we update this policy in a material way, we will post the revised version here with an updated effective date and notify active clients by email. Continued use of our services after a change constitutes acceptance of the updated policy.
